Many businesses assume that because they already email PDF invoices, they are doing e-invoicing. Under Singapore's GST InvoiceNow Requirement, that is not the case. The difference between a PDF and a structured e-invoice is fundamental.
A PDF is a picture; InvoiceNow is data
A PDF - or a scanned paper invoice - is an unstructured document designed for a human to read, so a finance team still has to key its details into a system by hand. An InvoiceNow invoice is structured XML (PINT-SG): the recipient's system reads it directly as data, validates it, matches it to a purchase order, and posts it without re-entry.
What the mandate actually requires
Under the GST InvoiceNow Requirement, invoice data must be transmitted as a structured PINT-SG document through an IMDA-accredited solution. Unstructured formats - PDF, paper and traditional EDI files - do not satisfy the requirement, even if the PDF is digitally signed.
You can still send a copy to customers
Going structured does not mean customers stop receiving a readable invoice. Suppliers can still deliver a human-friendly copy - for example by email - alongside the structured transmission. What changes is that the compliant record travels as PINT-SG data through the network to your trading partner and to IRAS.

Structured invoicing is not just a compliance box. Businesses that adopt it report fewer rejected invoices, less manual data entry, faster approvals, and better visibility into invoice status - because validation happens at the point of transmission, before errors reach the customer.
